Vendor Merchandise Assistant- Visual
The Merchandise Department supports the Product needs of Helzberg Diamonds by building powerful assortments, wide-ranging price points, bridal dominance, competitive quality and value across multiple fine jewelry categories and time pieces. The Visual team within the Merchandise Department is responsible for identifying propping that will make beautiful and effective presentations, support the sales of the product, and provide visual support our stores. Visual is an active partner with the Merchandising team, the Store Operations group and Brand/Creative in supporting Helzberg’s business.
POSITION SUMMARY:
Assist the Visual Merchandise Manager and Visual Merchandise Coordinator with in-case visual merchandising programs for all retail locations which support the connection between the physical environment and Helzberg products. Work collaboratively with both SSC and store partners and external vendors. Assist with tracking programs and expenses to ensure projects are completed on time and within budget guidelines. Work closely with merchandise department to ensure consistency between merchandise and visual concepts and goals. Partner with the store organization to ensure proper execution in support of protecting the brand.
PRINCIPAL ACCOUNTABILITIES:
- Maintain accurate prop and signage inventory, including ordering, allocations, replenishment, and tracking shipments to stores.
- Coordinate vendor communication, scheduling, and timeline management for prop rollouts and visual projects.
- Distribute floor plans, visual guidelines, and project documentation to vendors and store teams.
- Maintain and update project trackers, store lists, and other documentation to support team visibility.
- Assist with purchase order (PO) creation for signage and visual assets and support invoice processing.
- Support test-and-learn initiatives and innovation projects, including mock store maintenance and pilot programs.
- Assist with prop, packaging and signage ordering, shipping coordination, and vendor communication for new store programs and product expansions.
- Contribute to the organization and development of visual program assets, including signage, packaging, and display elements.
- Support signage maintenance and project coordination, ensuring updates are delivered and installed accurately and on time.
- Provide administrative support for store floor plans, linear file management, and planogram execution.
- Process and track store prop and signage requests, ensuring clear communication and accurate fulfillment.
- Assist in preparing visual training materials for store teams and internal partners.
SUPERVISORY RESPONSIBILITIES:
The incumbent does not have any direct reports.
QUALIFICATIONS:
- Bachelor’s degree in retail management, design, or related field that may include visual presentation preferred.
- One to two years of retail or administrative experience.
- Strong organizational skills with keen attention to detail, problem solving skills, and ability to organize and prioritize required.
- Proficiency in Microsoft Office Suite (especially Excel and PowerPoint); familiarity with project management tools and Adobe Creative Suite a plus.
- Must be effective communicator both personal and written and have good interpersonal skills with cross-functional team members and our stores.
- Must be comfortable working in fast paced creative environment and have the ability to manage multiple projects at once.
- Interest in retail design, visual merchandising, or creative project work preferred.
- Hybrid schedule with predictable onsite attendance required three or more days per week to perform essential functions involving interactive behaviors with co-workers and managers, operation or manipulation of equipment and/or materials located only on site, and direct interaction with internal and/or external customers.
